Privacy Policy
Chandler National Little League ("CNLL," "the League," "we," "us," or "our") is a volunteer-operated, nonprofit youth baseball organization based in Chandler, Arizona, recognized as tax-exempt under Section 501(c)(3) of the Internal Revenue Code, and a chartered member league of Little League International. This Privacy Policy describes how we collect, use, protect, and share personal information in connection with our website at www.chandlernational.com, our newsletter, our parent and coach portals, our sponsor inquiry forms, and our related digital communications (together, the "Site").
Please read this Policy carefully. By using the Site, you acknowledge this Policy. Where the law requires your consent (for example, before we set optional cookies), we will ask for it first and honor your choice.
A note to children: If you are under 13, please ask your parent or guardian to review this Policy with you. We cannot collect or use your information without their approval, and our Site is not designed for you to submit information yourself. Our practices regarding children are described in Section 5 and in our separate Children's Privacy Notice, which is incorporated into this Policy.
1. Who we are, and how registration really works
CNLL operates this Site to inform and serve our families, volunteers, sponsors, and community.
Player registration, payments, and volunteer background checks do not occur on this Site. They occur on Little League International's official registration platform, operated by Stack Sports/Sports Connect (transitioning to PlayMetrics beginning with the 2027 season) (the "Official Registration Platform"). When you click "Register" on our Site, we send you to the Official Registration Platform, which is governed by its own privacy policy and by Little League International's privacy policy. For information collected there:
- Little League International's Privacy Policy: https://www.littleleague.org/privacy-policy/
- Stack Sports/Sports Connect Privacy Policy: https://stacksports.com/legal-privacy/
Under Little League's privacy framework, a chartered local league is a controller of the personal information provided to it, alongside Little League International and its registration platform provider to the extent information is shared with them. In plain terms: registration data is entered on the Official Registration Platform; the League receives rosters, contact information, and related records from that platform in order to operate the season.
2. Information we collect
We collect only what we need, from the following categories of people:
a. Site visitors (everyone). When you browse the Site, our hosting infrastructure processes technical information necessary to deliver pages securely: IP address, browser type, device type, requested pages, and timestamps. This processing is strictly necessary to operate the Site. Optional analytics data is collected only if you choose "Accept" in our consent banner: see Section 6 and our Cookie & Consent Policy. If you choose "Reject" (or dismiss the banner), we do not collect analytics data about your visit.
b. Parents and guardians. If you create a Parent Portal account (adults 18+ only), we collect your name, email address, phone number (optional), household association, and the preferences and submissions you make in the portal (for example, volunteer signups, RSVP responses, snack-schedule assignments, and communication preferences). If you subscribe to our newsletter, we collect your email address.
c. Players (children), provided only by adults. We maintain limited player records provided by parents/guardians through the Official Registration Platform or directly by parents: player name, league age/division, team assignment, and the consent flags you have set (for example, photo permission and roster-name permission). We treat photographs, video, and audio of children as personal information. Our handling of all child-related information is governed by Section 5 and the Children's Privacy Notice.
d. Coaches, volunteers, and board members. Name, contact information, role, and required credential status (for example, whether annual background-check and training requirements are complete: status only; background checks themselves are conducted through Little League's designated provider (JDP) via the Official Registration Platform, and we do not collect or store background-check reports on this Site).
e. Sponsors. Business name, contact name, business email and phone, sponsorship level of interest, and artwork files submitted for banners. Sponsor contacts are treated as business information.
f. Correspondence. If you email, call, or message us, we keep the correspondence and contact details needed to respond.
We do not collect: Social Security numbers, government identifiers, or payment card information on this Site (payments occur on the Official Registration Platform or our donation processor's hosted page); precise geolocation; biometric information; or advertising identifiers.
3. How we use information
We use personal information only to run the League and this Site:
- Operating the season: rosters, schedules, team assignments, field and weather alerts, and league communications;
- Operating the Site and portals: account management, security, troubleshooting, and honoring your consent and communication choices;
- Volunteer coordination: signups, assignments, and credential-status tracking required by Little League's Child Protection Program;
- League communications you request: newsletters, schedule changes, cancellations, and announcements;
- Sponsorship administration: responding to inquiries and recognizing sponsors;
- Fundraising for the League itself (never fundraising by or for third parties);
- Safety and legal compliance: protecting participants, enforcing our Terms of Use, and meeting our obligations under law and under our Little League charter;
- Improving the Site, using analytics only if you have opted in.
We do not use personal information for targeted advertising. We do not sell personal information. We do not use automated decision-making that produces legal or similarly significant effects.
4. How we share information (and how we never will)
We share personal information only with:
- Little League International and Arizona District 13, as required to operate as a chartered league (charters, tournament eligibility, the Little League Data Center);
- Service providers who help us run the Site and communications (website hosting, database hosting, email delivery, and, only with your opt-in, analytics), each bound to use the information only to provide services to us and to protect it;
- Team volunteers with a need to know (for example, your child's team manager receives the team roster and parent contact information to run the team);
- Authorities or parties when required by law, or to protect the safety of a child or other person, or to enforce our rights.
What we will never do: Consistent with Little League International's policies, we do not sell, rent, release, or share player, parent, or volunteer personal information, including images or video, with any third party for fundraising, marketing, commercialization, or promotional purposes. Sponsor recognition on our Site never includes giving sponsors access to personal information.
5. Children's privacy (COPPA)
This Site is intended for a general audience of parents, volunteers, and community members. Children under 13 are not permitted to create accounts, submit forms, or provide personal information on the Site, and we do not knowingly collect personal information directly from children under 13.
Because we are a youth baseball league, we do handle limited information about children, always provided by adults. Under the Children's Online Privacy Protection Act (15 U.S.C. §§ 6501–6506) and its implementing Rule (16 CFR Part 312, as amended effective 2025), personal information includes a child's photograph, video, or voice. Accordingly:
- Verifiable parental consent. Registration information about your child is collected with your verifiable parental consent, obtained through the Official Registration Platform's registration-and-payment process. Consent for the League to publish photographs or video of your child, and separately to list your child's name on rosters or results, is obtained through our seasonal Photo, Video & Media Release: an opt-in, with each permission its own choice.
- Separate consent for any third-party disclosure. We do not disclose children's personal information to third parties for their own use. If that ever changed, we would be required to, and would, obtain your separate, specific opt-in consent first.
- Your rights as a parent/guardian. At any time you may: review the personal information we hold about your child; ask us to correct or delete it; withdraw a permission previously given (prospectively); and refuse any further collection or use. We will verify your identity before acting, respond within 30 days, and never condition your child's participation in the League on providing more information than participation reasonably requires.
- Retention. We keep children's personal information only as long as reasonably necessary for the purposes for which it was collected, never indefinitely, under a written retention policy summarized in the Children's Privacy Notice (current standard: current season plus one year for roster/consent records unless a longer period is required for safety, insurance, or legal reasons; published photos are removed on request).
- Security program. We maintain a written information-security program for children's personal information, described in Section 8.
- Never published: a child's home address, email address, phone number, or other contact information; under Little League policy this information never appears on any League website or social media, period. Individual player statistics or performance callouts naming a child are likewise not published without written parental permission.
Full details, including how to exercise these rights: Children's Privacy Notice. Helpful FTC resources for parents: https://consumer.ftc.gov/identity-theft-and-online-security/protecting-kids-online.
6. Cookies, consent, and the choices you control
When you first visit the Site, a consent banner asks you to Accept or Reject optional data collection. Until you accept, only strictly necessary technology runs:
- Strictly necessary (always on): session security, load balancing, the cookie that remembers your consent choice, and, if a board volunteer signs in to League HQ, that sign-in session.
- Analytics (off until you Accept): privacy-respecting usage statistics that help us improve the Site.
- Marketing/advertising cookies: none. We do not use them, ever.
Choosing Reject, or dismissing the banner with the X, means no optional data collection occurs. You can use the entire public Site either way, and you can change your mind anytime via the "Cookie Settings" link in the footer. If your browser sends a Global Privacy Control (GPC) or Do Not Track signal, we honor it by treating your visit as "Reject" for all optional collection automatically. Details, including a table of every cookie we set: Cookie & Consent Policy.
7. How long we keep information
We retain personal information using these criteria: (i) how long we have an active relationship with you (for example, a registered family or active volunteer); (ii) whether a legal, insurance, safety, or charter obligation requires retention; and (iii) whether retention is reasonably necessary for our legal position (such as applicable statutes of limitation). When information is no longer needed, we delete it or de-identify it. Children's information is subject to the stricter, written retention timeframes in Section 5. Newsletter addresses are kept until you unsubscribe. Portal accounts inactive for 24 months are deleted after notice.
8. How we protect information
We use administrative, technical, and physical safeguards proportionate to the sensitivity of the information we hold: encryption in transit (TLS) for all Site traffic; encrypted storage with role-based access for portal data; least-privilege access limited to board members and volunteers with a need to know; audit logging of administrative access; annual access reviews when the board turns over; and contractual protections with every service provider. We maintain a written information-security program for children's personal information covering these safeguards, provider assurances, and incident response. No method of transmission or storage is 100% secure, but we treat protecting our families' information as a core safety obligation.
If a breach occurs: we will notify affected individuals without unreasonable delay and within the time required by Arizona law (A.R.S. § 18-552: no later than 45 days after determination), and will cooperate with authorities as required.
9. Your rights and choices (everyone)
Whether or not a particular privacy statute applies to a small nonprofit league, we voluntarily extend these rights to everyone:
- Access/Know: ask what personal information we hold about you or your child;
- Correct: ask us to fix inaccurate information;
- Delete: ask us to delete information (subject to the retention obligations in Section 7);
- Opt out of communications: every newsletter and non-essential email includes an unsubscribe link, honored promptly (and always within 10 business days); transactional/safety messages (like weather cancellations for your child's game) continue while you have an active registration;
- Consent withdrawal: change cookie choices anytime via "Cookie Settings"; withdraw photo/roster permissions anytime as described in the Children's Privacy Notice;
- No sale/no sharing: we do not sell or share personal information for advertising, so there is nothing to opt out of;
- Non-discrimination: exercising your rights never affects your family's standing in the League;
- Appeal: if we decline a request, we will explain why, and you may ask the League's Board of Directors to review the decision.
To exercise any right, contact privacy@chandlernational.com (or contact@chandlernational.com). We will verify your identity (for child-related requests, your relationship to the child), respond within 30 days, and not charge a fee for a first request in any 12-month period.
10. California disclosures (CalOPPA)
Users can visit the public Site anonymously (subject to strictly necessary processing described above). We post a conspicuous link to this Policy, including the word "Privacy", in the Site footer of every page. Categories of personal information collected and the categories of third parties with whom information may be shared are described in Sections 2 and 4. We notify users of material changes as described in Section 13, and this Policy's effective date appears at the top. Do Not Track: we honor DNT and GPC signals by disabling all optional collection (Section 6). We do not permit third-party behavioral tracking on the Site.
11. Other U.S. state privacy laws
As a small Arizona nonprofit, CNLL is generally outside the scope of state comprehensive privacy statutes (both because of nonprofit exemptions and because we do not approach their processing thresholds). We honor the spirit of those laws anyway through the voluntary rights in Section 9. If a state law does apply to you and grants additional rights, contact us and we will honor them.
12. Territoriality; links; recordings
The Site is operated in the United States for a U.S. audience, and information is processed in the United States. Links to other services (the Official Registration Platform, GameChanger, social media, the City of Chandler, sponsor websites) are governed by those services' own policies; we are not responsible for their practices. League games and events may be photographed, recorded, or streamed on League-controlled channels in accordance with our media policies and the consents described in Section 5; attendance at public games may result in your incidental appearance in crowd imagery.
13. Changes to this Policy
When we make material changes, we will: post the updated Policy with a new effective date; place a notice on the Site home page; and, for changes affecting children's information or portal users, email registered families before the change takes effect. Material changes to how we handle children's personal information will not apply to previously collected information without renewed parental consent.
